Setting Up the Kiosk for Check-in
The GymPoint kiosk provides a self-service check-in experience for your members. Set up a tablet at your front entrance and let members check themselves in using a barcode scan, QR code, or name search. This frees up your front desk staff and speeds up the entry process.
Kiosk Mode URL
The kiosk runs in a web browser, so there's no app to install. Each organization has a dedicated kiosk URL in the form:
https://app.gympoint.ai/kiosk/your-organization-id
To find your kiosk URL:
- Navigate to Settings > Organization in the admin dashboard.
- Your kiosk URL is displayed with the organization details.
- Copy the URL and open it on your kiosk device.
The kiosk URL loads a simplified, full-screen interface designed for touch interaction. It does not require a staff login — it's a dedicated check-in screen.
Tablet and Device Recommendations
The kiosk works on any device with a modern web browser, but we recommend the following for the best experience:
Recommended devices:
- iPad (9th generation or newer) — 10.2" screen, great touch response
- Samsung Galaxy Tab A8 or S-series — affordable Android option
- Amazon Fire HD 10 — budget-friendly option
Requirements:
- Screen size: 10" or larger recommended
- Browser: Safari (iPad), Chrome (Android), or any Chromium-based browser
- Internet: Stable Wi-Fi connection
- Power: Keep the device plugged in at all times
Optional accessories:
- Tablet stand or wall mount — positions the device at a comfortable height
- Barcode/QR scanner — a USB or Bluetooth scanner for faster check-ins (the device camera also works)
- Protective case — especially important in a gym environment
Setup tips:
- Enable Guided Access (iPad) or Kiosk Mode (Android) to lock the device to the browser so members can't navigate away.
- Set the screen to never auto-lock or sleep.
- Bookmark the kiosk URL for easy access if the browser is accidentally closed.
Check-in Methods
The GymPoint kiosk supports three check-in methods. You can enable one or all of them.
Name Search
Members type their name on the on-screen keyboard to find their account.
- The member taps the search bar on the kiosk screen.
- They begin typing their first or last name.
- Matching members appear in a list.
- The member taps their name to check in.
- A confirmation screen displays a welcome message.
Name search is the simplest method and requires no additional hardware, but it can be slower during peak hours.
Barcode Scan
Members scan a barcode from their key tag or membership card.
- Each member is assigned a barcode number in their GymPoint profile.
- The barcode can be printed on a key tag, membership card, or sticker.
- At the kiosk, the member holds their barcode up to a connected scanner or the device's camera.
- The system matches the barcode to the member's account and checks them in.
- A confirmation screen appears.
Barcode scanning is the fastest check-in method and works well for high-traffic gyms.
QR Code Scan
Members can display a QR code on their phone for scanning.
- Members access their QR code through the GymPoint member portal or a saved image.
- At the kiosk, the member holds their phone screen up to the device camera or a connected scanner.
- The QR code is read and matched to their account.
- Check-in is confirmed on screen.
QR codes are convenient because members always have their phone, eliminating the need for physical key tags.
Kiosk Display Customization
Personalize the kiosk screen to match your gym's brand.
To customize the kiosk display:
- Go to Settings > Organization.
- Configure the following:
- Logo — displayed at the top of the kiosk screen (uses your organization logo by default)
- Welcome message — text shown on the main screen (e.g., "Welcome to FitZone! Scan your badge to check in.")
- Confirmation message — text shown after a successful check-in (e.g., "Have a great workout!")
- Background color — set a brand-consistent background
- Check-in methods — toggle which methods are available (name search, barcode, QR code)
- Click Save.
Additional display options:
- Show member photo on the confirmation screen for visual verification
- Show alerts — display a notice if the member has a past-due balance or needs to sign a waiver
- Auto-reset timer — how long the confirmation screen displays before returning to the main check-in screen (default: 5 seconds)
Tips
- Test the kiosk thoroughly before placing it at the front desk. Try each check-in method with a few member accounts.
- Position the device where members naturally enter the gym, at eye level, with good lighting for camera-based scanning.
- Keep a backup check-in method available. If the kiosk has a technical issue, staff should be able to check members in from the admin dashboard.
- Print barcode key tags in bulk for existing members during migration to speed up adoption.
