Setting Up Point of Sale
GymPoint's built-in Point of Sale (POS) system lets you sell retail products, supplements, drinks, apparel, and services directly from your front desk. This guide covers initial setup so you can start processing sales quickly.
Navigating to the POS Section
- Log into GymPoint and click POS in the left sidebar.
- You will see the POS terminal — a full sales screen with a product grid, category bar, cart, and payment controls. This is where you ring up transactions.
The POS terminal works alongside a few related sections in the left sidebar:
- Products (
/products) — Your product catalog, where you create and edit items and manage inventory. - Settings > Sales (
/settings/sales) — POS-specific configuration, including categories and receipt options.
If you do not see the POS section, confirm that your user role has POS permissions enabled under Settings > Team.
Default Product Categories
GymPoint comes with several default product categories to help you organize your catalog:
- Beverages — Water, protein shakes, smoothies, energy drinks.
- Supplements — Protein powder, pre-workout, vitamins.
- Apparel — T-shirts, tank tops, shorts, hoodies.
- Accessories — Gym bags, towels, water bottles, resistance bands.
- Services — Day passes, guest passes, locker rentals.
- Other — A catch-all for items that do not fit the above.
Customizing Categories
- Go to Settings > Sales.
- To add a category, click + New Category and enter a name.
- To rename a category, click on its name and type the new one.
- To reorder categories, drag them into your preferred sequence. The order here determines how they appear on the register screen.
- To delete a category, click the three-dot menu and select Delete. You must reassign any products in that category first.
- Click Save.
Register and Terminal Pairing
The POS register is where sales happen. To accept card payments, you need to pair a Poynt terminal with your register.
Setting Up the Register
- Go to Settings > Sales.
- Give your register a name (e.g., "Front Desk Register" or "Juice Bar Register"). This is helpful if you have multiple selling locations within your facility.
- Choose the default payment methods available at this register:
- Card (Poynt Terminal) — Requires a paired terminal.
- Cash — Manual cash handling.
- Member Account — Charge to a member's account on file.
Pairing a Poynt Terminal
- Ensure your Poynt terminal is powered on and connected to Wi-Fi (see the Poynt Terminal Setup article for detailed terminal setup).
- In Settings > Billing > Payment Processor, click + Pair Terminal.
- GymPoint will search for available terminals on your network. When your terminal appears, click Pair.
- If auto-discovery does not find the terminal, click Manual Pairing and enter the terminal's serial number (found on the back of the device or in the Poynt HQ dashboard).
- Once paired, a green "Connected" status appears next to the terminal name.
You can pair multiple terminals if you have more than one selling station.
Cash Drawer and Receipt Settings
Cash Drawer
If you use a cash drawer connected to your POS setup:
- Go to Settings > Sales.
- Toggle Enable Cash Drawer to on.
- Select your connection method (USB or network).
- The cash drawer will automatically open when a cash transaction is completed.
- Enable Open at Start of Day if you want the drawer to open when staff logs into the register for float counting.
Receipt Settings
Configure how receipts are generated and delivered:
- Go to Settings > Sales.
- Receipt header — Enter your gym's name, address, and phone number. This prints at the top of every receipt.
- Receipt footer — Add a custom message (e.g., "Thank you for shopping at FitLife Gym!" or your return policy).
- Delivery method:
- Print — Sends the receipt to a connected receipt printer. Configure the printer under Settings > Sales.
- Email — Emails the receipt to the member (if the buyer is a known member).
- Both — Prints and emails.
- Ask at checkout — The register prompts the cashier to choose the delivery method for each transaction.
- Tax display — Choose whether to show tax as a separate line item or included in the product price.
- Click Save.
