    Organization Settings

    Organization settings define the core identity of your gym within GymPoint. These settings appear across your dashboard, member-facing portal, emails, and receipts, so it's important to keep them accurate and up to date.

    Accessing Organization Settings

    Navigate to Settings > Organization from the left sidebar. The Organization hub links to sub-sections for general info, logo, and locale.

    Business Name, Address, and Contact Info

    The general information section captures the basics about your gym.

    To update your business information:

    1. Go to Settings > Organization > General.
    2. Fill in or update the following fields:
      • Business name — your gym's official name as it should appear on receipts, invoices, and the member portal
      • Street address — your physical location
      • City, State, ZIP — complete mailing address
      • Phone number — the primary contact number for your gym
      • Email address — the main business email (used as the reply-to address for system emails)
      • Website — your gym's website URL (displayed in the member portal footer)
    3. Click Save Changes.

    This information is used in system templates via the {{company.name}}, {{company.phone}}, {{company.email}}, and {{company.address}} variables.

    Logo and Branding

    Customize GymPoint's appearance to match your gym's brand.

    To upload your logo:

    1. Go to Settings > Organization > Logo.
    2. Click Upload Logo.
    3. Select an image file (PNG or JPG, recommended size: 400x120 pixels).
    4. The logo previews immediately. Adjust if needed.
    5. Click Save.

    Your logo appears in:

    • The member portal header
    • Email templates (when using the default header)
    • The kiosk check-in screen
    • PDF invoices and receipts

    Brand color:

    1. In the Logo section, click the Primary Color picker.
    2. Select your gym's brand color or enter a hex code.
    3. This color is applied to buttons, headers, and accent elements in the member portal and kiosk.
    4. Click Save.

    Timezone and Locale

    Timezone and locale settings ensure that dates, times, and currency are displayed correctly throughout the platform.

    To configure timezone and locale:

    1. Go to Settings > Organization > Locale. (Timezone is also available under Settings > Organization > General.)
    2. Select your timezone from the dropdown. This affects:
      • Scheduled billing times
      • Workflow timing (e.g., quiet hours, reminders)
      • Report date ranges
      • Activity feed timestamps
    3. Select your date format preference (MM/DD/YYYY or DD/MM/YYYY).
    4. Select your currency (USD is the default).
    5. Click Save.

    It is important to set the correct timezone before configuring any billing schedules or automated workflows, as all timing is based on this setting.

    Business Hours

    Business hours let GymPoint know when your gym is open. This information is displayed in the member portal and can influence certain automations.

    To set your business hours:

    1. Go to Settings > Account > Locations and open the location you want to edit.
    2. For each day of the week, toggle whether your gym is Open or Closed.
    3. For open days, set the opening time and closing time.
    4. If you have different hours for different days (e.g., shorter weekend hours), configure each day individually.
    5. Click Save.

    Where business hours are used:

    • Member portal — displayed on the portal so members know when to visit
    • Kiosk — optionally shown on the check-in screen
    • Notifications — some gyms align notification delivery with business hours

    If your gym is open 24/7, set all days to Open with a start time of 12:00 AM and end time of 11:59 PM.

    Tips

    • Keep your business name consistent with your legal name for accurate invoicing.
    • Update your address if you move locations — it flows into all templates and receipts automatically.
    • Upload a high-quality logo with a transparent background for the best appearance across light and dark surfaces.
    • Double-check your timezone after initial setup. An incorrect timezone can cause billing to run at unexpected times.
