Setting Up Your Gym Profile

    Why Your Gym Profile Matters

    Your gym profile is the foundation of your GymPoint account. The information you enter here appears on invoices, email communications, the member portal, and receipts printed from Poynt terminals. Keeping it accurate and complete ensures a professional experience for your members.

    Accessing Gym Profile Settings

    1. Log in to your GymPoint dashboard.
    2. Click Settings in the left sidebar.
    3. Select Organization > General from the settings menu.

    Organization Name

    Enter the legal or trade name of your gym. This is the name that appears at the top of invoices, in the member portal header, and in email communications.

    • Use the name your members recognize (e.g., "Iron City Fitness" rather than "Iron City LLC").
    • You can change this at any time without affecting billing or member records.

    Address & Contact Information

    Fill in all address fields so your gym's physical location is complete and accurate.

    Required Fields

    • Street Address — Your gym's street address.
    • City — City or town.
    • State/Province — State, province, or region.
    • ZIP/Postal Code — Postal code for your area.
    • Country — Select from the dropdown.

    Contact Details

    • Phone Number — Your main business phone. This appears on invoices and in the member portal footer.
    • Email Address — The primary contact email for your gym. This is used as the reply-to address for system-generated emails (welcome emails, invoices, receipts).

    Logo Upload

    Your logo appears in the member portal, on invoices, in email headers, and on the kiosk check-in screen.

    How to Upload

    1. Click the Upload Logo button or drag and drop an image file.
    2. Supported formats: PNG, JPG, or SVG.
    3. Recommended size: 400x400 pixels minimum.
    4. Maximum file size: 2MB.

    Best Practices

    • Use a square or near-square image for consistent display across all surfaces.
    • Choose a version of your logo that works on both light and dark backgrounds.
    • If your logo is text-heavy, make sure it remains legible at smaller sizes.

    Business Hours

    Setting your business hours lets members know when your gym is open. These hours display in the member portal and can be used by the kiosk to control check-in availability.

    Setting Hours

    1. For each day of the week, enter your Open and Close times.
    2. If your gym is closed on a particular day, toggle that day to Closed.
    3. For 24-hour gyms, set the open time to 12:00 AM and close time to 11:59 PM.

    Holiday Hours

    You can override regular hours for specific dates by adding holiday entries. Navigate to Settings > Organization > General and add exceptions as needed.

    Timezone Settings

    Your timezone affects how scheduling, billing dates, and reports are calculated throughout GymPoint.

    How to Set Your Timezone

    1. In Settings > Organization > General, find the Timezone dropdown.
    2. Select the timezone that matches your gym's physical location.
    3. Click Save Changes.

    Important Notes

    • Changing your timezone after you have active members and schedules can shift existing class times and billing dates. Plan timezone changes carefully.
    • All timestamps in reports and activity feeds display in your configured timezone.
    • If you operate gyms in multiple timezones, each organization (gym location) should have its own timezone setting.

    Saving Your Changes

    After filling in all profile fields, click the Save Changes button at the bottom of the page. A confirmation message will appear once your profile has been updated. Changes to your logo and gym name are reflected immediately across the platform, including the member portal and email templates.
