Member Profiles & Contact Details
Explore what's on a member profile, how to edit details, and how to view communication history.

Overview
Every member in GymPoint has a detailed profile that serves as the central hub for their information. From contact details and billing history to attendance records and communication logs, the member profile gives you everything you need to manage and support each individual.
Accessing a Member Profile
- Navigate to Members in the left sidebar.
- Use the search bar to find a member by name, email, or phone number.
- Click on the member's name to open their profile.
Profile Sections
Contact Information
The top section of the profile displays the member's core contact details:
- Full Name — First and last name.
- Email Address — Primary email used for member portal login and communications.
- Phone Number — Mobile or home phone.
- Date of Birth — If provided.
- Address — Full mailing address.
- Emergency Contact — Name and phone number.
Membership Status
Below the contact section, you will see the member's current membership information:
- Plan Name — The active membership plan.
- Status — Active, Frozen, Canceled, or Trialing.
- Start Date — When the membership began.
- Next Billing Date — When the next automatic charge is scheduled.
- Membership History — A log of all plan changes, including upgrades, downgrades, freezes, and cancellations with dates.
Billing & Payment History
The billing tab shows a complete financial record for the member:
- Payment Method on File — Last four digits of the stored card and expiration date.
- Invoice List — All invoices with status (paid, pending, overdue, failed), amount, and date.
- Transaction History — Individual payment transactions including successful charges, refunds, and failed attempts.
Click any invoice to view its full details or download a PDF.
Attendance History
The attendance tab logs every check-in the member has recorded:
- Date and Time — When the check-in occurred.
- Method — How they checked in (kiosk, front desk, manual entry).
- Class — If the check-in was associated with a specific class.
You can filter attendance by date range to view patterns over time.
Communication History
The communication tab tracks all messages sent to the member through GymPoint:
- Emails — Automated and manual emails with subject lines, sent dates, and delivery status.
- SMS Messages — Text messages sent through GymPoint's SMS feature.
- Dunning Messages — Collections-related communications sent by Smart Dunning.
This tab helps you avoid contacting a member about something they have already been notified about.
Notes
The notes section is a free-form area where staff can add internal comments about the member. Notes are timestamped and attributed to the staff member who wrote them.
Common uses for notes:
- Recording verbal agreements or special arrangements.
- Logging injury information for instructors.
- Tracking referral sources or sales conversations.
Custom Fields
If your organization has configured custom fields, they appear in a dedicated section of the profile. These might include fields like T-shirt size, referral source, experience level, or any other data specific to your gym.
Editing Profile Information
- On the member profile, click the Edit button (pencil icon) in the top-right corner of the contact section.
- Modify any fields as needed.
- Click Save Changes.
Changes are saved immediately and reflected everywhere the member's information appears (invoices, communications, etc.).
Merging Duplicate Profiles
If you discover two profiles for the same person, contact GymPoint support to merge them. The merge process consolidates attendance, billing history, and notes into a single profile while removing the duplicate.
