    Portal Features for Members

    The GymPoint member portal is a self-service hub where your members can manage their accounts without needing to contact your staff. This article covers each feature available to members in the portal.

    Dashboard Overview

    When a member logs in to the portal, they see a personalized dashboard that includes:

    • Welcome message — a customizable greeting from your gym
    • Membership status — their current plan name and status (active, frozen, etc.)
    • Next billing date — when their next payment is due and the amount
    • Upcoming classes — any classes they've booked in the near future
    • Recent activity — a feed of their latest check-ins, payments, and messages

    The dashboard gives members a quick snapshot of their account without needing to navigate to individual sections.

    Profile Management

    Members can view and update their personal information directly from the portal.

    What members can edit:

    • First name and last name
    • Email address
    • Phone number
    • Mailing address
    • Profile photo
    • Custom field values (if enabled by your gym)

    What members can view but not edit:

    • Membership plan and status
    • Member ID / barcode number
    • Join date
    • Check-in history

    To access profile settings, members click their name or avatar in the portal header and select My Profile.

    If you have custom fields configured as "member-visible and editable," those fields also appear on the profile page. Fields marked as view-only are displayed but cannot be changed by the member.

    Class Browsing and Booking

    If class booking is enabled in your portal settings, members can browse and reserve spots in your classes.

    How members book a class:

    1. Click Classes in the portal navigation.
    2. Browse the weekly schedule, which shows class names, times, instructors, and available spots.
    3. Click on a class to view details (description, duration, location, capacity).
    4. Click Book to reserve a spot.
    5. The member receives a confirmation and the class appears on their dashboard.

    Canceling a booking:

    1. Go to My Classes or find the class on the dashboard.
    2. Click Cancel Booking.
    3. Confirm the cancellation. The spot is released for other members.

    If a class is full, the member can join the waitlist. They'll be notified automatically if a spot opens up.

    Invoice and Payment History

    Members can view their complete billing history in the portal.

    What's available:

    • A list of all past invoices with date, amount, and payment status
    • The ability to download individual invoices as PDF files
    • Current outstanding balance (if any)
    • Active membership plan details including recurring charge amount and frequency

    This section is read-only for billing history. Members cannot dispute or modify past transactions through the portal. To make a payment or update payment methods, they use the self-service billing features covered in the next article.

    Message Inbox

    The portal includes a message inbox where members can view communications from your gym.

    How the inbox works:

    • Messages sent through GymPoint (email or SMS) that are also flagged for portal delivery appear in the inbox.
    • Members see the message subject, date, and sender.
    • Clicking a message opens the full content.
    • Members can reply to messages if the reply feature is enabled for your organization.

    The inbox ensures important communications aren't missed even if an email goes to spam or a text message is overlooked. It serves as a central record of all gym-to-member communication.

    Attendance History

    If attendance history is enabled, members can view a log of their check-ins.

    • Date and time of each check-in
    • Check-in method (barcode scan, QR code, manual, kiosk)
    • Total visits for the current month and all time

    Members often appreciate being able to track their own attendance patterns. It can also be motivating to see a streak of consistent visits.

    Tips for Maximizing Portal Adoption

    • Mention the portal during enrollment. Staff should tell new members about the portal and help them log in for the first time.
    • Send a portal guide email. Use a message template that walks members through what they can do in the portal.
    • Keep features relevant. Only enable features you actively use. An empty class schedule or unused message inbox can feel unfinished.
    • Encourage self-service billing. The more members manage their own payment methods, the fewer billing-related support requests your staff handles.
