Setting Up the Member Portal
The GymPoint member portal gives your members a self-service hub where they can manage their profile, view billing history, book classes, and communicate with your gym. This guide covers how to enable, configure, and brand the portal.
Enabling the Portal
The member portal is included with your GymPoint account but must be enabled before members can access it.
To enable the portal:
- Navigate to Settings > Members > Portal from the left sidebar.
- Toggle Enable Member Portal to on.
- Click Save.
Once enabled, members can access the portal immediately using the portal URL.
Portal URL and Access
Each GymPoint organization gets a unique portal URL. The default format is:
https://portal.gympoint.ai/your-organization-slug
Your organization slug is based on your business name and is set during account creation. You can view and customize it under Settings > Members > Portal.
Member access:
- Members log in to the portal using their email address and a password they set during enrollment or via a password reset email.
- Portal authentication is separate from the admin dashboard. Members cannot access the admin side, and staff accounts do not automatically have portal access.
- If a member has never set a portal password, they can click "Forgot Password" on the portal login page to receive a reset link.
Sharing the portal with members:
- Include the portal URL in your welcome email template.
- Add a link to your gym's website.
- Display a QR code at the front desk that links to the portal login page.
Branding the Portal
Customize the portal's appearance to match your gym's brand so members feel at home.
To configure portal branding:
- Go to Settings > Members > Portal.
- Customize the following:
- Logo — uploaded from your organization settings, or upload a portal-specific logo
- Primary color — the accent color used for buttons, links, and headers
- Welcome message — a short message displayed on the portal dashboard (e.g., "Welcome to FitZone! Check your schedule and manage your account here.")
- Background image (optional) — a hero image for the portal login page
- Click Save.
The portal uses your branding across all pages, giving members a seamless experience that looks like part of your gym's own website.
Features Toggle
You can control which features are available to members in the portal. This lets you roll out functionality gradually or hide features that don't apply to your gym.
To configure portal features:
- Go to Settings > Members > Portal.
- Toggle each feature on or off:

| Billing & Payments | Members can view invoices, update payment methods, and make payments |
| Class Booking | Members can browse and book classes |
| Messages | Members can view messages from your gym in their portal inbox |
| Waivers & Documents | Members can view and sign documents |
| Attendance History | Members can see their check-in history |
- Click Save.
Disabled features are completely hidden from the portal navigation. Members will not see any indication that the feature exists.
Sending Portal Invitations
After enabling the portal, you'll want to invite your existing members to create their portal accounts.
To send bulk portal invitations:
- Go to Members and filter for active members.
- Select all members (or a specific group).
- Click Actions > Send Portal Invitation.
- Confirm the action.
Each selected member receives an email with a link to set their portal password and log in for the first time. Members who already have portal accounts are skipped.
To send an individual invitation:
- Open a member's profile.
- Click Actions > Send Portal Invitation.
Tips
- Enable the portal early. Even if you start with just profile viewing and billing, members appreciate having self-service access.
- Include the portal link in your onboarding workflow. Add it to the welcome email so new members know about it from day one.
- Turn on billing self-service to reduce front desk workload. Members can update their own payment methods without calling or visiting.
- Check the portal as a member. Log in with a test account to see exactly what your members experience and make adjustments as needed.
