AI Credits, Usage & Limits
Pulse AI features consume credits each time they run. This system ensures fair usage and lets you control how much AI processing your gym uses. This guide explains how credits work, what your allocation is, how to track usage, and what to do if you run out.
How Credits Work
Every AI action in GymPoint costs a specific number of credits:

Routine scoring (lead scores and health scores) runs automatically on a schedule. Each scored lead or member consumes 1 credit per scoring cycle. AI-drafted messages consume credits when generated, not when sent.
Monthly Credit Allocation Per Plan
Your monthly credit allocation depends on your GymPoint subscription plan:

Credits reset on the first day of each billing cycle. Unused credits do not roll over to the next month.
Tracking Usage
Monitor your credit consumption to avoid surprises:
- Go to Settings > Subscription Plan, where AI credit usage is shown alongside your plan.
- You will see:
- Credits used this month — Current consumption with a visual progress bar.
- Credits remaining — How many credits are left before the reset date.
- Reset date — When your credits refresh.
- Usage breakdown — A pie chart showing which AI features are consuming the most credits (e.g., 40% lead scoring, 25% dunning drafts, 20% health scores, 10% re-engagement, 5% weekly insights).
Usage History
Scroll down to the Usage History table, which shows a daily log of credit consumption. Each entry includes:
- Date
- Action type (e.g., "Lead Score Batch," "Dunning Draft")
- Number of credits consumed
- Staff member who triggered the action (for manual actions)
Usage Alerts
Set up alerts to avoid running out unexpectedly:
- From the AI usage panel under Settings > Subscription Plan, configure usage alerts:
- 75% usage alert — Get notified when you have used 75% of your monthly credits.
- 90% usage alert — Get notified when you have used 90%.
- 100% usage alert — Get notified when credits are exhausted.
- Choose who receives these alerts (e.g., the account owner or all admins).
- Click Save.
What Happens When Credits Run Out
When your monthly credits are fully consumed:
- Automatic scoring pauses. Lead scores and member health scores stop updating until credits are replenished. Existing scores remain visible but become stale.
- AI drafts are unavailable. You will not be able to generate AI-drafted messages for follow-ups, dunning, or re-engagement. You can still write and send messages manually.
- Weekly insights may be skipped. If credits run out before Sunday, the weekly insights report will not be generated that week.
- No data is lost. All your leads, members, scores, and history remain intact. AI features simply pause until credits are available.
A banner appears at the top of the Pulse AI settings page and on the dashboard indicating that credits are exhausted.
Purchasing Additional Credits
If you run out of credits before your reset date, you can purchase a top-up:
- Go to Settings > Subscription Plan.
- Click Purchase Additional Credits.
- Select a credit pack:
- 500 credits — For a quick boost.
- 1,000 credits — For moderate needs.
- 2,500 credits — For heavy usage.
- Confirm the purchase. The amount is charged to your account's payment method.
- Additional credits are available immediately and are valid until your next reset date.
Alternatively, consider upgrading your plan for a higher monthly allocation if you consistently run out of credits. Go to Settings > Subscription Plan to compare options.
Tips for Managing Credits Efficiently
- Focus AI drafting on high-value actions. Use AI drafts for at-risk members and hot leads rather than generating drafts for every communication.
- Adjust scoring frequency. You can change how often batch scoring runs (e.g., daily instead of twice daily) to reduce credit consumption.
- Use the usage breakdown. If one feature is consuming a disproportionate share of credits, decide whether the value justifies the cost.
- Monitor early in the month. Check your usage after the first week to project whether your allocation will last the full month.
