Exporting Data & Custom Reports
GymPoint makes it easy to export your data for accounting, analysis, or record-keeping. You can export member lists, financial reports, and attendance data in just a few clicks.
Exporting Member Lists to CSV
To export a list of members:
- Navigate to Members from the left sidebar.
- Apply any filters you need (status, membership plan, join date, custom fields, etc.).
- Click the Export button in the top-right corner of the member table.
- Select CSV as the export format.
- Choose which columns to include in the export. By default, all visible columns are selected.
- Click Download.
The exported CSV file includes one row per member with all selected fields. Common fields include:
- Full name, email, phone number
- Membership plan and status
- Join date and last check-in date
- Outstanding balance
- Custom field values
Exporting Financial Data
Financial exports are available from the Reports hub (/reports):
- Open the Reports hub and select the revenue view you want (monthly breakdown, MRR trend, plan revenue, etc.).
- Set your desired date range using the date picker.
- Click the Export button.
- Choose CSV for spreadsheet-compatible data, or PDF for a formatted report with charts.
- The file downloads immediately.
CSV exports include raw transaction data — ideal for importing into accounting software like QuickBooks or Xero.
PDF exports include visual charts and summary tables — ideal for sharing with business partners or investors.
Available Filters Before Export
GymPoint lets you filter data before exporting so you only get what you need. Available filters vary by report type:
Member exports:
- Member status (active, past due, frozen, canceled)
- Membership plan
- Join date range
- Last check-in date
- Custom field values
- Tag or group membership
Financial exports:
- Date range (month, quarter, year, or custom)
- Payment status (successful, failed, refunded)
- Payment method (credit card, ACH, cash)
- Membership plan
Attendance exports:
- Date range
- Member name or ID
- Check-in method (barcode, QR, manual)
Always apply your filters first, then export. The exported file will contain only the filtered results.
Scheduling Recurring Exports
If you need regular reports, GymPoint can automatically generate and email exports on a schedule.
To set up a scheduled export:
- Go to Reports (
/reports) and open the report you want to schedule. - Apply your desired filters and date range.
- Click the Schedule button (clock icon next to the Export button).
- Configure the schedule:
- Frequency: Daily, weekly, or monthly
- Day of week/month: When applicable
- Time: When the export should be generated
- Recipients: Enter one or more email addresses
- Format: CSV or PDF
- Click Save Schedule.
Scheduled exports are emailed as attachments to the specified recipients. They always use the most recent data available at the time of generation.
To manage existing schedules:
- Go to Reports (
/reports) and open the Schedule panel. - View all active schedules.
- Edit the frequency, recipients, or filters.
- Pause or delete schedules you no longer need.
Tips for Working with Exports
- Use CSV for data processing. If you plan to sort, filter, or pivot the data in a spreadsheet, CSV is the better choice.
- Use PDF for presentations. If you're sharing a summary with staff or stakeholders, PDF provides a polished format.
- Filter first, export second. Narrow your data before exporting to keep files manageable and relevant.
- Archive monthly exports. Set up a monthly schedule for revenue and member reports to build a historical record without manual effort.
- Check column selection. Before downloading a member export, review the selected columns to avoid including sensitive data you don't need.
