    Healthy billing is the backbone of predictable gym revenue. GymPoint's billing health reports help you monitor payment success rates, track collections efforts, and identify revenue at risk before it becomes lost revenue.

    Accessing Billing Health Reports

    Navigate to Reports (/reports) from the left sidebar — the financial and operational reports hub covers billing performance alongside revenue and membership data. The billing health gauge also appears on your Dashboard and on the Billing overview (/billing), with past-due accounts and the smart dunning queue on Billing > Collections (/billing/collections).

    Billing Health Gauge

    The billing health gauge is a visual meter that summarizes your overall billing performance on a 0-100 scale:

    • 90-100 (Green): Excellent. Your payment success rate is high, and overdue accounts are minimal.
    • 70-89 (Yellow): Needs attention. Some failed payments or overdue accounts are dragging down performance.
    • Below 70 (Red): Critical. A significant portion of your billing is failing, and immediate action is recommended.

    The gauge score is a weighted calculation based on four factors:

    1. Payment success rate (40% weight)
    2. Failed payment recovery rate (25% weight)
    3. Overdue account ratio (20% weight)
    4. Average days to collect overdue balances (15% weight)

    Failed Payment Rate

    Below the gauge, the failed payment rate section shows:

    • Current month's failure rate — percentage of attempted charges that failed
    • Failure trend — a line chart of monthly failure rates over the past 12 months
    • Top failure reasons — declined card, insufficient funds, expired card, bank rejection

    To investigate specific failures:

    1. Click on any month in the trend chart.
    2. A table of individual failed transactions appears.
    3. Click a member's name to go to their billing profile and take action.

    A healthy gym typically sees a failed payment rate under 5%. If yours is higher, review your card-on-file update processes and consider enabling automated card updater services.

    Collections Success Rate

    The collections section tracks how effectively your dunning and retry processes recover failed payments:

    • Recovery rate — percentage of failed payments that are eventually collected
    • Average recovery time — how many days it takes to collect after the initial failure
    • Recovery by method — breakdown of recoveries by automatic retry vs. manual collection vs. member self-service payment

    To view collections details:

    1. Go to Billing > Collections (/billing/collections).
    2. Select a date range to analyze.
    3. Review the summary cards and drill into individual recovery records.

    Overdue Account Aging

    The aging report categorizes overdue accounts by how long they've been past due:

    Each bucket shows the number of accounts and total dollar amount at risk. Click any bucket to see the individual members in that aging category.

    Revenue at Risk

    The revenue at risk widget calculates the total monthly recurring value of memberships with current billing problems. This includes:

    • Members with a failed payment pending retry
    • Members with overdue balances
    • Members on payment plans that are behind

    This number represents how much MRR you could lose if these billing issues are not resolved. Use it to prioritize your collections efforts — the higher the amount, the more urgently you should act.

    Recommended Actions

    1. Enable automatic retries under Settings > Billing > Billing Schedule to retry failed payments on an optimized schedule.
    2. Set up dunning sequences in Marketing > Automations to automatically notify members when payments fail.
    3. Review the aging report weekly and personally contact members in the 15-30 day bucket before they churn.
    4. Keep cards on file updated by encouraging members to update payment methods through the member portal.
    5. Export the report monthly to share with your team and track improvement over time.
