    Overview

    GymPoint's point-of-sale (POS) system lets you sell products in person at your front desk using a Poynt terminal. Before you can ring up sales, you need to add your products to the catalog with prices, categories, and tax settings. This guide covers how to set up your product inventory.

    Accessing the Product Catalog

    1. Navigate to Products in the left sidebar.
    2. You will see a list of all existing products, organized by category.
    3. Click Add Product to create a new item.

    Adding a Product

    Basic Information

    • Product Name — A clear name that appears on receipts and in the POS interface (e.g., "Protein Shake", "GymPoint T-Shirt", "Boxing Gloves").
    • Description — An optional description for additional details. This is visible to staff in the POS but does not appear on receipts.
    • SKU — An optional stock-keeping unit code for your own inventory tracking.

    Pricing

    • Price — Enter the retail price for the product (e.g., 24.99). Use the standard dollar format.
    • Cost — Optionally enter your cost for the product. This is used for margin reporting and does not appear to members.

    Category

    Assign each product to a category to keep your POS organized. Categories help staff find products quickly during checkout.

    Creating a category:

    1. In the Category dropdown, click Add New Category.
    2. Enter the category name (e.g., "Supplements", "Apparel", "Equipment", "Drinks").
    3. Click Save.

    You can assign each product to one category. Products without a category appear under "Uncategorized" in the POS.

    Tax Rate

    Configure the applicable tax rate for each product:

    • Tax Rate Percentage — Enter the sales tax percentage (e.g., 8.25 for 8.25%). This is applied at checkout.
    • Tax Exempt — Toggle this on if the product is not subject to sales tax.

    Tax rates can vary by product type. For example, supplements may be taxed differently than apparel in your jurisdiction.

    Product Image

    Adding an image helps staff identify products quickly in the POS grid view.

    1. Click Upload Image or drag and drop a file.
    2. Supported formats: PNG, JPG.
    3. Recommended size: 300x300 pixels.
    4. Maximum file size: 1MB.

    Products without images display a placeholder icon.

    Editing a Product

    1. Go to Products.
    2. Click on the product you want to edit.
    3. Update any fields.
    4. Click Save Changes.

    Price changes take effect immediately in the POS. Pending orders or invoices that were created before the change are not affected.

    Deactivating a Product

    If you stop selling a product but want to keep it in your records:

    1. Click the three-dot menu next to the product.
    2. Select Deactivate.
    3. The product is hidden from the POS but historical sales data is preserved.

    Deactivated products can be reactivated at any time.

    Using Products in the POS

    Once your products are set up, they appear in the POS checkout screen:

    1. Navigate to POS in the left sidebar.
    2. Products are displayed in a grid, organized by category tabs.
    3. Click a product to add it to the current order.
    4. Adjust quantity if the member is buying more than one.
    5. The subtotal, tax, and total update automatically.
    6. Click Charge to process payment through the Poynt terminal or enter a card manually.

    Product Reports

    View sales data for your products under Reports:

    • Top-selling products — See which items generate the most revenue.
    • Sales by category — Understand which product categories perform best.
    • Margin analysis — If you entered cost prices, view your profit margins per product.

    Tips

    • Keep product names short and recognizable so staff can find them quickly during busy checkout periods.
    • Review your product catalog monthly and deactivate items you no longer carry.
    • Use categories liberally to organize the POS grid for fast navigation.
    • Set accurate tax rates at the product level to ensure sales tax reporting is correct.
