Creating Membership Plans

    Set up monthly, annual, drop-in, and class pack membership plans with pricing, trials, and auto-renewal.

    Overview

    Membership plans are the foundation of your billing in GymPoint. They define what members pay, how often they are billed, and what access they receive. GymPoint supports a variety of plan types to match any gym's pricing model.

    Accessing Membership Plans

    1. Navigate to Members > Memberships in the left sidebar.
    2. You will see a list of all existing plans with their status (active or archived).
    3. Click Add Plan to create a new one.

    Plan Types

    Monthly Recurring

    The most common plan type. Members are charged automatically every month on their billing anniversary date.

    • Best for: Standard gym memberships, unlimited access plans.

    Annual Recurring

    Members are billed once per year. Typically offered at a discount compared to 12 months of monthly billing.

    • Best for: Committed members, discounted long-term memberships.

    Drop-in

    A single-use plan with no recurring billing. The member pays once for a single visit.

    • Best for: Walk-in visitors, day passes, trial visits.

    Class Packs

    Members purchase a set number of class credits that are consumed each time they attend a class. No recurring billing — the member buys a new pack when their credits run out.

    • Best for: Yoga studios, specialty class programs, part-time attendees.

    Creating a Plan: Step by Step

    1. Click Add Plan on the Memberships page.
    2. Fill in the following fields:

    Plan Name

    Choose a clear, descriptive name that members will see on invoices and in the member portal (e.g., "Monthly Unlimited", "10-Class Pack", "Annual Premium").

    Description

    An optional description that appears in the member portal to help members understand what the plan includes.

    Price

    Enter the plan price. This is the amount billed each cycle (or once, for drop-in and class packs). Use the standard dollar input format (e.g., 49.99).

    Billing Frequency

    Select how often the member is charged:

    • Monthly — Every 30 days from the start date.
    • Annually — Every 365 days from the start date.
    • One-time — A single charge with no recurrence (used for drop-ins and class packs).

    Trial Period

    Optionally add a trial period at the start of the membership:

    • Set the trial length in days (e.g., 7 days, 14 days, 30 days).
    • During the trial, the member has full access but is not charged.
    • Billing begins automatically when the trial ends.
    • Leave blank for no trial.

    Setup Fee

    An optional one-time charge added to the member's first invoice. Commonly used for enrollment fees, key fob costs, or initiation fees.

    Class Credits

    For class pack plans, specify the number of credits included. Each class check-in consumes one credit.

    Auto-Renewal

    Toggle auto-renewal on or off:

    • On — The plan renews automatically at the end of each billing cycle. This is the default for monthly and annual plans.
    • Off — The plan expires at the end of the billing cycle. The member must manually re-enroll. This is useful for fixed-term contracts or seasonal programs.
    1. Click Create Plan to save.

    Editing a Plan

    1. Go to Members > Memberships.
    2. Click on the plan you want to edit.
    3. Modify the fields as needed.
    4. Click Save Changes.

    Important: Changes to a plan's price or billing frequency only affect new enrollments. Existing members on the plan continue at their original terms. To change billing for existing members, update their membership individually or use the Change Plan feature on their profile.

    Archiving a Plan

    If you no longer want to offer a plan but have existing members enrolled in it:

    1. Click the three-dot menu next to the plan.
    2. Select Archive.
    3. The plan is hidden from new enrollments but existing members remain unaffected.

    Archived plans can be restored at any time from the Archived tab.

    Best Practices

    • Keep plan names simple and member-friendly since they appear on invoices and in the portal.
    • Use trial periods strategically to reduce enrollment friction for new members.
    • Review your plan lineup quarterly and archive plans that are no longer relevant.
    • For class packs, set credit expiration policies to encourage regular attendance.
