    Overview

    Attendance tracking in GymPoint helps you understand how often members visit, which classes are popular, and who might be at risk of dropping off. GymPoint offers multiple check-in methods to fit different gym setups, from self-service kiosks to front desk workflows.

    Check-in Methods

    Kiosk Self-Service

    The kiosk is a self-service check-in station typically set up on a tablet at your front entrance. Members can check themselves in without waiting for staff.

    How it works:

    1. Set up a tablet or dedicated device and navigate to your gym's kiosk URL.
    2. The kiosk displays your gym logo and a check-in prompt.
    3. Members search for their name or enter their phone number or email.
    4. They tap their name to check in.
    5. A confirmation screen appears, and the check-in is recorded.

    The kiosk can also prompt new visitors to sign a waiver before their first check-in.

    Front Desk Check-in

    Staff members can check in members directly from the dedicated check-in screen or member list.

    1. Navigate to Members in the left sidebar, then open the Check-In page, or use the Front Desk view from the sidebar.
    2. Search for the member by name, email, or phone.
    3. Click the Check In button next to their name.
    4. The check-in is recorded with the current timestamp.

    This method is ideal for gyms where staff greet every member as they arrive.

    Manual Entry

    For cases where a check-in was missed or needs to be backdated:

    1. Open the member's profile.
    2. Go to the Attendance tab.
    3. Click Add Check-in.
    4. Enter the date and time of the visit.
    5. Optionally associate it with a specific class.
    6. Click Save.

    Manual entries are marked as "Manual" in the attendance log to distinguish them from real-time check-ins.

    Class-Specific Check-in

    When a member checks in, you can associate the check-in with a specific class:

    1. During kiosk check-in, if classes are scheduled for the current time window, the kiosk will ask the member which class they are attending.
    2. At the front desk, select the class from a dropdown when checking the member in.
    3. Class-specific check-ins count toward the class's attendance numbers and are reflected in the class roster.

    Viewing Attendance History

    Per Member

    On any member's profile, the Attendance tab shows their complete check-in history:

    • Date and time of each visit.
    • Check-in method (kiosk, front desk, manual).
    • Associated class (if applicable).
    • Filter by date range to see patterns.

    Across All Members

    Open the Attendance page (Members > Attendance) to see aggregate attendance data:

    • Daily attendance count — How many check-ins occurred each day.
    • Peak hours — Which times of day see the most foot traffic.
    • Class attendance — How many members attended each class.
    • Member frequency — How often individual members visit per week or month.

    Attendance Reports

    GymPoint provides several built-in attendance reports:

    Attendance Summary

    A high-level view of total check-ins over a selected period, broken down by day, week, or month. Use this to spot trends and seasonal patterns.

    Inactive Members

    This report identifies members who have not checked in within a configurable number of days (default: 30 days). These members may be at risk of canceling and are good candidates for outreach.

    Pulse AI's churn prediction feature also uses attendance data to identify at-risk members automatically.

    Class Popularity

    See which classes have the highest and lowest attendance rates. This helps you make scheduling decisions like adding more sessions of popular classes or adjusting times for underperforming ones.

    Exporting Attendance Data

    All attendance reports can be exported to CSV for further analysis:

    1. Navigate to the report you want to export.
    2. Set your desired date range and filters.
    3. Click the Export button.
    4. A CSV file downloads with all matching records.

    Tips

    • Encourage members to use the kiosk for consistent data collection.
    • Check the Inactive Members report weekly and reach out to members showing declining attendance.
    • Use class attendance data to optimize your schedule for maximum engagement.
