Ranks & Belt Systems
Set up rank categories and belt systems to track member progression in martial arts and other graded programs.

Overview
For martial arts gyms, dojos, and any program with a progression system, GymPoint provides built-in rank and belt tracking. You can define custom rank categories, assign ranks to members, and track their advancement over time. This feature helps instructors manage grading schedules and gives members visibility into their journey.
Setting Up Rank Categories
Rank categories define the progression system for a specific discipline. For example, a gym that teaches both Brazilian Jiu-Jitsu and Taekwondo would create two separate rank categories, each with its own belt sequence.
Creating a Rank Category
- Navigate to Schedule > Programs.
- Click Add Rank Category.
- Enter a Category Name (e.g., "BJJ Belts", "Karate Ranks", "Kids Jiu-Jitsu").
- Add each rank in order from lowest to highest:
- Rank Name — The display name (e.g., "White Belt", "Yellow Belt", "1st Dan").
- Color — Select a color to visually represent the rank on profiles and lists. This is especially useful for belt systems where color is meaningful.
- Order — Ranks are ordered from lowest (1) to highest. Members progress upward through the list.
- Click Save Category.
Editing Rank Categories
You can add new ranks, reorder existing ones, or rename them at any time. Go to Schedule > Programs, click on the category, and make your changes. Existing member rank assignments are preserved when you edit the category.
Deleting a Rank Category
If a rank category is no longer needed, click the three-dot menu next to it and select Delete. This removes the category and all rank assignments associated with it from member profiles. Confirm this action carefully, as it cannot be undone.
Assigning Ranks to Members
From the Member Profile
- Open the member's profile.
- Find the Ranks section.
- Click Assign Rank or Update Rank.
- Select the rank category from the dropdown.
- Select the specific rank level.
- Optionally enter a date achieved and any notes (e.g., "Promoted at Summer Grading 2026").
- Click Save.
Bulk Rank Assignment
After a grading event, you may need to promote multiple members at once:
- Go to Members and filter the list to show the relevant members (e.g., all members with a specific current rank).
- Select the members using the checkboxes.
- Click Bulk Actions > Assign Rank.
- Choose the new rank and promotion date.
- Click Apply.
Rank Progression History
GymPoint maintains a full history of every rank change for each member. This record includes:
- The rank category and level.
- The date the rank was assigned.
- Who made the change (staff member name).
- Any notes attached to the promotion.
View this history on the member's profile under the Ranks section by clicking View History.
Rank Display
Member Profile
The member's current rank for each category is displayed prominently on their profile with the rank color badge. This gives front desk staff and instructors an immediate visual indicator of the member's level.
Member List
You can add rank columns to the member list view. Go to the Members page, click Columns, and enable the rank categories you want to display. You can also sort and filter by rank.
Member Portal
Members can view their own rank and progression history on the Progression page when they log in to the member portal. This helps them stay motivated and track their journey.
Best Practices
- Define your rank categories before you start assigning ranks. Changing the structure later is possible but easier to get right from the start.
- Use the notes field during rank assignments to record details about grading events, test scores, or instructor feedback.
- After major grading events, use the bulk assignment feature to save time.
- For kids' programs, consider separate rank categories with intermediate levels (stripes) to provide more frequent milestones.
