If you are searching for Pilates studio software, you are not shopping for a generic gym system. You have a fixed number of reformers, a mix of mat and private sessions, clients who buy packs, and a late-cancel problem that costs real money.

Many results for this search are vendor landing pages that all say they are built for Pilates. This guide compares six platforms against the jobs a Pilates studio needs done, using only published pricing, with the date we checked it.

The short answer: if you want published pricing, reformer-based class caps, auto-deducting packs, and late-cancel fees without a sales call, GymPoint (our product) has a free plan worth testing first. If your studio relies on a consumer marketplace for new clients, Mindbody is still the platform with that channel. If you want a native app store app with your logo, get quotes from Mindbody, Glofox, or Zen Planner.

What a Pilates studio needs from software

A Pilates studio needs more than "book a class, charge a card." We evaluated each platform against these:

    • Reformer-count capacity limits. A class must stop taking bookings when every machine is claimed.
    • Multiple class formats. Mat, reformer, tower, chair, privates, and duets usually carry different prices and capacities.
    • Class packs and intro offers with auto-deduct. The software should deduct credits and warn clients when they run low.
    • Waitlists with auto-promotion. When someone cancels a full class, the next person gets the spot without you texting anyone.
    • Late-cancel and no-show fees. A machine held for someone who never shows is revenue you cannot resell.
    • Private booking by instructor. Clients often follow one instructor and want to book that person directly.
    • A member portal clients will install. If booking is painful on a phone, clients text you instead.
    • Retail. Grip socks are the classic Pilates add-on sale.
    • Total cost, including processing. Card processing on packs and memberships is often bigger than the subscription.

    How we evaluated

Competitor pricing comes from our gym software pricing matrix, where every row records the vendor's public pricing page and the date it was checked. Feature notes on Mindbody, Glofox, and Zen Planner come from our published comparison pages. For Arketa and Vagaro we have pricing only, so where we cannot confirm a feature, we say so.

We did not use review scores or customer counts. GymPoint is our own product, labeled that way, with its limitations listed as plainly as anyone else's.

The best Pilates studio software in 2026

    1. GymPoint (our product)

Best for: independent Pilates studios that want reformer capacity limits, packs, late-cancel fees, and private booking on published pricing, starting free.

Pricing: Free for unlimited members, with GymPoint Payments required. Growth is $149 per month and Pro is $249 per month. There are no contracts and no setup fees, and annual billing saves 20% on paid plans. Processing is 2.49% + 20¢ for card-present payments and 3.49% + 20¢ for online, card-on-file, and keyed payments. Every plan includes a free Poynt smart terminal for accounts processing over $5,000 per month. (Pricing matrix row verified 08/23/2026.)

    Strengths for Pilates:

    • Reformer capacity. You set a max capacity on each class to match your reformer count. When it fills and waitlists are on, Book turns into Join Waitlist. You can override capacity for one session when a machine is out for repair.
    • Waitlists that promote themselves. Turn on Auto-Promote and the next person in line gets the spot when someone cancels, in the order they joined. A promotion window, such as up to 2 hours before class, keeps anyone from being promoted minutes before start. Promoted clients get an email.
    • Formats and packs. Mat, reformer, tower, chair, privates, duets, and group reformer each get their own schedule and pricing. You can sell unlimited monthly plans, class packs such as an 8-class pack, intro offers, and drop-ins. Credits deduct automatically and clients see their remaining balance in the portal.
    • Late-cancel and no-show fees. You set a dollar amount for each. When a client cancels inside your window or is marked a no-show, GymPoint charges the card on file, or creates an invoice due in 3 days if there is no card. You can override the amounts per program, so a private can carry a bigger fee than a mat class. The policy is shown before booking and in the cancel dialog, and staff can waive a fee.
    • Book a specific instructor. Every bookable trainer gets a personal booking link showing only their hours, ready for a bio or a text. The optional Trainer Picker adds a "Choose a trainer" step to your booking page, with "Any trainer" first. Paid privates collect a card at booking.
    • Retail. Ring up grip socks, props, and branded merchandise on the Poynt terminal between sessions, with inventory tracking.

Honest limitations: GymPoint has no App Store or Google Play app. The member portal installs to the phone's home screen from the browser, with your studio's logo and name. It has no push notifications yet, so clients hear from you by email and text, and it has no offline mode. There is no consumer marketplace to send you new clients, and payments are card only, with no ACH debit. A public API, webhooks, and Zapier are in development, not available today. Pulse AI churn prediction and AI-drafted messages are on Growth and Pro, not Free.

Pilates notes: Start on Free, set each reformer class's capacity to your machine count, and turn on waitlists and Auto-Promote before you set late-cancel fees. More on the setup at Pilates studio software from GymPoint.

    2. Mindbody

Best for: established studios in markets where the Mindbody consumer app is a real source of new clients, and studios that want a branded native app.

Pricing: Starter is $79 per month per location. Pricing above Starter is not published and requires a demo. Mindbody's pricing page notes processing fees on payments, texts, and some integrations without listing the rates, and cancellation terms depend on the plan and promotion. Mindbody also charges commission on bookings made through its marketplace. (Pricing matrix row verified 07/29/2026.)

Strengths: In the market since 2001, Mindbody offers a branded native app and the Mindbody consumer marketplace app, where people search for classes near them. It supports Reserve with Google, waitlists, and more than 200 third-party integrations.

Honest limitations: You cannot see what Accelerate or Ultimate will cost without a sales call. Because Starter is priced per location, costs multiply if you open a second studio. Marketplace commissions and processing come on top of the subscription.

Pilates notes: Ask in your demo how class capacity is set for reformer classes, how packs deduct, and what the marketplace commission is per booking. Our Mindbody alternatives guide covers the tradeoff in detail.

    3. Arketa

Best for: solo instructors on its published Individual plans. Studios will need a quote.

Pricing: Arketa's published plans are for individual instructors: Individual Basic at $49 per month and Individual Suite at $124 per month, both billed annually. Its Studio plan, the one most multi-instructor Pilates studios would need, is not priced publicly and requires a sales call. A free trial is available. Processing runs through Stripe, plus an additional 3% platform fee on Individual plans. (Pricing matrix row verified 07/29/2026.)

Honest limitations: We have no verified feature details beyond its pricing page, so we will not guess. The 3% platform fee on Individual plans sits on top of Stripe's processing.

Pilates notes: In a demo, ask what the Studio plan costs at your instructor count, whether the 3% platform fee applies to it, how reformer capacity is set, and how late-cancel fees are charged.

    4. Vagaro

Best for: studios that like pricing tied to the number of instructors rather than the number of clients.

Pricing: Vagaro scales by bookable calendars, which means staff. It starts at $23.99 per month for 1 bookable calendar (a promotional price; list is $30.00) and reaches $83.99 per month for 7 or more calendars (promotional; list is $90.00). Multi-location pricing is quoted separately. There is a 30-day free trial, which excludes email marketing, text marketing, and the branded app. You can cancel anytime with no cancellation fees, and marketing tools and the branded app are paid add-ons. (Pricing matrix row verified 08/15/2026.)

Strengths: Published prices, a real trial, and no cancellation fees. Calendar-based pricing suits a studio with few instructors and many clients.

Honest limitations: Prices are promotional, so ask what you will pay after the promotion ends. We have not verified how it handles capacity or packs.

Pilates notes: Count your bookable instructors first. Ask in a demo how class caps, waitlists, and pack deductions work.

    5. Glofox

Best for: boutique studios that want a branded app in the App Store and Google Play and are comfortable with a sales-led process.

Pricing: Not published. Glofox's pricing page is an interactive calculator that asks for business type and location count before showing any figure, and no flat prices are shown. (Pricing matrix row verified 07/29/2026.)

Strengths: Glofox is part of ABC Fitness Solutions. It offers a white-label native app for members to book, check in, and manage their account, and has a strong reputation in yoga, cycling, Pilates, and boutique studio markets. It offers dedicated account management and onboarding support.

Honest limitations: You cannot see a price without a sales conversation. Full API and webhook access is limited to its Enterprise tier.

Pilates notes: Ask for a written quote that includes processing and any app fees. Ask how reformer capacity and late-cancel fees are configured.

    6. Zen Planner

Best for: multi-discipline studios, or Pilates programs inside a larger fitness business, that want workout tracking and a branded native app.

Pricing: The Studio tier starts at $99 per month and scales by active members. Extensions are priced separately: Engage is an additional $249 per month, a website is $99 per month, and the branded app and EMV devices are $39 per month each. Processing fees may apply. Zen Planner's FAQ mentions both month-to-month terms and a 12-month commitment, so confirm which applies to your quote. (Pricing matrix row verified 09/12/2026.)

Strengths: Zen Planner has built-in workout tracking, a branded native app, and integrations across the Daxko ecosystem.

Honest limitations: Its roots are in martial arts and CrossFit. The bill grows as your roster grows, and add-ons like the app and Engage raise the total quickly.

Pilates notes: Price it at the member count you expect in a year. Ask how class caps and pack credits work for reformer classes.

What it actually costs per month

Processing is where the real money goes, and only some vendors publish rates. Here is one worked example using only sourced rates.

The studio: 12 reformers. Each month it bills 100 card-on-file payments averaging $150 (memberships and packs), for $15,000 in online volume. It also sells 40 pairs of grip socks at $15 each in person, for $600 in card-present sales. These are assumptions for illustration, not customer results.

    On GymPoint Free:

    Line itemCost
    Software$0
    Card-on-file processing: 100 x (3.49% of $150 + $0.20)$543.50
    Card-present processing: 40 x (2.49% of $15 + $0.20)$22.94
    Terminal (over $5,000 processed)$0
    Total$566.44

On Growth, add $149 for $715.44. Growth adds churn prediction, smart dunning, the lead pipeline, campaigns, and collections.

On the others, the same math cannot be completed honestly, because rates are not public:

    • Mindbody: $79 for Starter, plus processing at rates its pricing page does not list, plus marketplace commission on marketplace bookings.
    • Arketa: the Studio plan is quote only. On an Individual plan, the 3% platform fee alone on $15,000 would be $450, before Stripe's processing.
    • Vagaro: $23.99 to $83.99 by instructor count at promotional prices, plus processing and paid add-ons.
    • Glofox: quote only.
    • Zen Planner: from $99, rising with active members, plus $39 for the branded app and any processing fees.

Ask every vendor for three numbers: monthly software at your size, the online card rate, and the in-person rate. Then run your own volume through each.

    Frequently Asked Questions

What is the best software for a Pilates studio?

It depends on how you get clients. For published pricing, reformer class caps, auto-deducting packs, waitlist auto-promotion, and late-cancel fees on a free plan, try GymPoint (our product). If the Mindbody app sends you many new clients, Mindbody keeps that channel. If a branded native app is a must, compare Mindbody, Glofox, and Zen Planner quotes.

Is there free Pilates studio software?

Yes. GymPoint has a Free plan at $0 per month for unlimited members, with one location and GymPoint Payments required. It includes class booking, class packs, waivers, POS, kiosk, and the member portal. Card processing still applies at 2.49% + 20¢ in person and 3.49% + 20¢ online. Arketa and Vagaro offer free trials rather than free plans.

What does Pilates studio software cost?

From the public pricing pages we checked: GymPoint is free, with Growth at $149 and Pro at $249 per month. Mindbody Starter is $79 per month per location, with higher tiers quote only. Arketa's Individual plans run $49 to $124 per month billed annually, with its Studio plan quote only. Vagaro runs $23.99 to $83.99 per month at promotional prices. Zen Planner Studio starts at $99 per month and scales by members. Glofox does not publish pricing. Pricing last checked between July and September 2026. Add processing to every figure.

Does Pilates software limit class size by reformer count?

GymPoint does. You set each class's max capacity to your reformer count and can override it for one session. Full classes can take a waitlist that promotes automatically. Other vendors do not cover capacity on their pricing pages, so test it in a demo or trial.

Can clients book a specific instructor?

In GymPoint, yes. Each bookable instructor gets a personal booking link, and every booking through it goes to that instructor. The Trainer Picker lets clients choose an instructor, or "Any trainer," on your booking page. For other platforms, ask to see private booking in the demo.
