What's New in GymPoint: October 2026

October was a heavy month. Most of the work went into the parts of the product you never see: how a membership sale creates its invoice, what happens when a card processor does not answer, and how a frozen membership comes back to life. Some of it is visible, and that is where this list starts.

Everything below is live for every GymPoint gym. Nothing requires a plan change, though text reminders need an active SMS number.

    Booking

Every trainer gets their own booking link

Each trainer can now have a personal booking link that opens your public booking page showing only their hours. A client who books through it is booked with that trainer, not with "any available staff."

Go to Bookings > Availability, pick the staff member, and turn on Bookable online in the Online Booking card (you need permission to manage users). Once their weekly hours are saved, a Booking link appears with a Copy button. Trainers can put it in an Instagram bio, a text, or an email signature. If the trainer is later deactivated or loses their hours, the link falls back to your regular booking page with a short notice instead of breaking.

    Clients can pick their trainer

If you would rather let clients choose, turn on Trainer Picker under Settings > Online Booking Page in the Page Settings card and click Save. The booking page adds a Choose a trainer step between the service and the time, with Any trainer listed first. The step is skipped when fewer than two staff are bookable, and for visitors who arrive through a trainer's own link.

    Only bookable staff are offered

Your public booking page and the member portal now offer only staff who are active, have saved hours, and are marked Bookable online. Staff who already had weekly hours saved were switched on automatically, so nothing changed for them. Staff you add from now on start with the switch off, so a new hire never appears on your booking page by accident. Details are in the public booking pages guide.

Appointment reminder texts send the day before

When your gym has an SMS number, members now get a text the day before an appointment or space rental. The toggle is Send Text/SMS reminder 1 day prior under Settings > Email Notifications, and it is on by default.

    Member portal

    Members change their own password

The portal Profile page has a new Security section where a member enters their current password and a new one. Changing it signs the member out on every other device while the one they used stays signed in. The section stays available even if you turn off profile editing for members.

    A smoother app install

The install button on the member app setup page now uses your brand color. Members who open the page inside Instagram or Facebook on Android get exact steps to open it in their regular browser, since those apps cannot add a home-screen app.

    Spaces

Book a rental from the front desk

For renters who call or walk in, click New rental on the Bookings page (you need permission to manage payments). Pick the space, date, length, and start time, choose a new renter or an existing member, then take payment: Pay now charges a card, Mark paid offline records cash, check, or other, and Comp books it at no charge with a required reason. Staff rentals follow the same prices, hours, and closures as the public page but skip the minimum-notice rule. An unpaid rental releases its time after 30 minutes.

Close a space for a holiday or private event

Add closures from the Closures card under Settings > Spaces: one space or all of them, a reason, and the first and last closed day. Renters cannot book those days and see the reason on the calendar. Rentals already booked on a closed day stay booked, so you decide how to handle them.

Each space also has its own Cancellation policy text now. Leave it blank to use the default, which names your cancellation window, or write your own. Renters see it before they pay, and it is saved with each booking. The full walkthrough is in the space rental guide.

    Billing

    Future-start memberships bill themselves

Sell a recurring membership that starts on a later date and GymPoint now creates its first invoice immediately, due on the start date, and charges the card automatically on the start date during your normal billing run. Until then the invoice shows as Auto-charge on the member's payments list and stays out of their portal balance. If the charge is declined or there is no card on file, your payment staff get a bell notification and the normal retry schedule takes over.

Class packs are the exception: a pack always starts the day it is sold, so the start date field is gone for packs.

Resume a frozen membership and collect in one step

The Resume button on a frozen membership now opens a dialog that shows what is owed for the frozen period, including any overdue invoices and a charge prorated to the next billing date. Collect it with a saved card, a new card, cash, or check, and the membership is active again. Resume without charging is available for the cases where you want to waive it. See managing memberships.

    Payments never guess

Occasionally a card processor accepts a charge but never sends the answer back, or sends it late. Every charging path in GymPoint, from the front desk to the portal to autopay, now treats a missing answer as "being confirmed" rather than a decline. Staff see Payment being confirmed with no retry button, and payment staff get a Payment needs checking bell with the invoice, the amount, and the processor order to look up. Members see a plain message asking them not to pay again. Until a staff member resolves the hold, the invoice can only be paid with the same card. The same rule applies to voids: a void that is still being confirmed blocks a refund until it is retried. The failed payments guide covers how to resolve a hold.

    Pack refunds tidy up credits

A full refund of a pack purchase now removes the unused credits it granted. Credits already used stay used, and a partial refund leaves credits alone. Details in refunds and credits.

    Also in October

    • Memberships sold from the dashboard now create their first invoice on the server in the same step as the membership, with proration, setup fees, and add-ons computed there.
    • Deleting a member now cancels all of their active memberships in the same step, so billing stops. Open invoices are left as they are.
    • Family plans enforce Max Family Members on the product. The primary account holder does not count toward the limit, and 0 means unlimited.
    • Pulse AI conversations idle for more than 24 hours start fresh on the next message, and the chat header has a New conversation button.

If you run into anything that does not match this list, send us a note through the contact form and a person will answer.
