Space Rental: Rent Your Room or Floor by the Hour
Set up GymPoint Space Rental: turn on Spaces, add a room or floor, set rentable hours and hourly pricing, choose Instant or Approval booking, share the public booking page, and manage rentals from the calendar.

Space Rental lets outside people book and pay for your room, studio, or floor by the hour. A renter picks a space, picks a day and start time, enters a card, and gets a confirmation with your door code. You control when each space is rentable, what it costs, and whether bookings confirm instantly or wait for your approval.
It fits gyms with hours or rooms that sit empty: a personal trainer who needs a floor for a client, a dance or yoga instructor who wants a studio for a private session, or a coach running a small group on a weekend morning. Before You Start
- GymPoint Payments must be connected. Renters always pay by card. Until GymPoint Payments is connected, your public space booking page returns a not-found page.
- The feature is off by default. Nothing is visible to the public until you turn it on.
- It is available on every plan, including Free.
Step 1: Turn On Spaces
- Go to Settings > Spaces. The card reads "Rent your room or floor by the hour."
- Turn on the Spaces switch for your organization.
Step 2: Add a Space
Click to add a space and fill in:
- Name and description: what renters see first. Say what the room is and what is in it.
- Photo: one clear photo of the room.
- Square feet: shown on the space card.
- Tags: up to 8, such as "turf", "mirrors", or "sound system".
- Calendar color: how rentals of this space show on your staff calendar.
- Active: turn off to hide a space without deleting it.
- Sort order: the order spaces appear on the booking page.
Step 3: Set Rentable Hours
For each weekday, add up to 3 rentable windows. Windows can run to midnight. Renters can only book start times inside these windows.
Classes do not block a space. GymPoint does not check your class schedule when a renter books. You declare the rentable hours, so leave out any hours when the room is in use for classes or open gym.
Step 4: Set Pricing
- Base rate: the hourly price.
- Peak rate (optional): a different hourly price for a window you choose, with a peak start and peak end time.
GymPoint prices each hour on its own, so a booking that crosses into your peak window charges peak for those hours and base for the rest. The price is locked when the renter books. Changing your rates later does not change existing bookings. There are no deposits and no add-ons.
Step 5: Set Booking Rules

Turnover minutes give you time to reset the room between renters. Turnover sits inside the booked time: the session ends that many minutes early, so back-to-back hours stay bookable. Renters see "Sessions end N minutes early for turnover" before they book.

Step 6: Choose a Booking Mode
Each space has its own booking mode:
- Instant: the renter's card is charged at checkout and the booking is confirmed right away.
- Approval (the default): the renter's card is saved but not charged. Staff approve or decline the request, with an optional reason on a decline. The card is charged only on approval.
Unanswered requests expire. The expiry is an organization setting from 1 to 168 hours, with a default of 24 hours.
Step 7: Add a Door Code and House Rules
- Door code: one static code per space. It is revealed only on a confirmed booking, never on a pending request.
- House rules: your rules for the room. Renters must check a box acknowledging them before paying. The accepted terms are stored with the booking. This is an acknowledgment, not a signed agreement.
Step 8: Share the Booking Page
Your public space booking page lives at /book/{orgId}/spaces on your gym subdomain or the GymPoint app host. You can copy the link from:
- Settings > Spaces
- Settings > Bookings > Online
Once Spaces is on, your service booking page also shows "Renting the space? Book hours here" so visitors looking for appointments can find it.
What the Renter Sees
The booking page has five steps:
- Space: cards show the from-price, a peak rate note, square feet, tags, and the turnover note.
- Day & Time: a month calendar marks booked and closed days. The day view lists hours already taken and shows a start button for each open hour with its price. All times are in your gym's timezone.
- Your Info: the renter's contact details. Phone is optional.
- Payment: before paying, the renter sees your cancellation policy with the exact deadline and your gym's contact details, and must accept your house rules. The renter always enters a card.
- Done: the confirmation, or the request received message for Approval spaces.
Checkout is tied to a signed, expiring price offer. If the price changed after the renter picked a time, checkout is refused and no charge is made. Retries are safe and will not double-charge, and an interrupted checkout lands on a recovery screen.
Each renter becomes a Customer record in GymPoint tagged "renter", so you can find them later.
What Happens After Booking
Instant bookings: the renter gets a "Space Rental Confirmation" email with the door code, your house rules, and a wrap-up line.
Approval bookings: the renter gets a request received email with a link to withdraw the request while it is still pending. They then get an email when you approve, decline, or when the request expires. The door code is shared only once the booking is confirmed.
Staff: new requests trigger an in-app bell notification and an email.
Reminders: renters get reminder emails 24 hours and 1 hour before start.
Texts: if your gym has an SMS number and the renter gave a phone number, the renter also gets the door code by text at confirmation and a text about 60 minutes before start.
Managing Rentals
- Calendar and bookings list: rentals appear alongside your other bookings. Use the Space filter to see one room at a time. Rentals cannot be dragged or edited.
- Requests tab: pending Approval requests, with a badge showing how many are waiting. Approve or decline from here.
- Canceling: only staff can cancel a rental, and a PIN is required.
- Refunds: the cancel dialog offers a refund only when the cancellation falls inside the space's cancellation window. Refunds are never automatic, so staff decide each time.
- Fees: there are no late-cancel or no-show fees on rentals, and rentals never use class-pack credits.
Limits and FAQ
Do classes block a space? No. You set the rentable hours for each space. Keep class times out of those windows.
Can renters cancel on their own? No. A renter can withdraw a pending request, but a confirmed rental can only be canceled by staff.
Do renters get a member portal login? No. Renters book through the public page and get everything they need by email, and by text if you have an SMS number.
Does a renter count as a check-in? No. A renter entering the building does not create a check-in.
Can a space have more than one price? Yes, a base rate and one peak window. Each hour is priced on its own.
