Pay at the Gym: Let Drop-Ins Book Now and Pay When They Arrive

    Turn on Pay at the Gym in GymPoint so non-members and other paying bookers can reserve a class seat without a card, see who owes on the class roster, and mark them paid with cash, card, or check when they walk in.

    Some people want to reserve a spot in a class but pay when they get there. Pay at the Gym gives anyone who owes for a class seat a second choice at checkout: pay online now, or pay at the front desk on arrival. The seat is booked either way, GymPoint records what is owed, and your class roster shows who still needs to pay so staff can mark them paid in a couple of taps.

    It is built for the non-member drop-in. A gym charging $10 for a drop-in class no longer needs a fake free "pay at the gym" booking option, which left no record of who owed and confused paying members with a second $0 choice.

    Before You Start

    • GymPoint Payments must be connected. The choice only appears when your gym can take cards online. Without a processor, GymPoint already books paid seats and invoices them, so there is nothing extra to offer.
    • The setting is off by default. A gym that never turns it on sees no change anywhere.
    • Members who owe nothing never see it. A paid-up member booking a class included in their membership books free exactly as before.

    Turning It On

    1. Go to Settings > Bookings.
    2. Under Access & Restrictions, turn on Let non-members pay at the gym.
    3. That is all. Every class with a price for the booker now offers the choice.

    If you were using a separate free "Pay at the gym" booking option as a workaround, remove it from your classes so members do not see two options.

    What Bookers See

    When someone who owes for a seat reaches the payment step on your public schedule or embedded widget, they see two choices above the card form:

    • Pay now: the normal card payment.
    • Pay $10.00 at the gym: the price is shown inline. Choosing it hides the card form.

    After booking, the confirmation says You're booked! and Pay $10.00 when you arrive. The confirmation email from your public schedule also says the amount is due at the gym and that nothing was taken from a card. Portal booking emails do not mention the amount.

    In the member portal, the same two choices appear for a member who owes for a class and has a card on file, with Pay now selected by default. A member with no card on file is simply told they will pay at the gym.

    While Pay at the Gym is on, anyone who joins a waitlist and owes for the seat pays nothing up front. If they are promoted into a seat, the amount is recorded as owed at the gym, never charged to a card.

    Seeing Who Owes

    1. Open Schedule and click the class.
    2. Above the roster, a badge shows how many people owe and the total, for example 2 owe at gym ($20.00). It disappears when nobody owes.
    3. Each person who chose to pay at the gym has an amber Owes $10.00 at gym badge on their row.

    People who paid online, members booking free, and seats you added by hand show no payment badge, so the roster stays uncluttered.

    Marking Someone Paid

    1. On the person's row, click Mark paid.
    2. Choose how they paid: Cash, Card, or Check.
    3. Click Confirm. The row flips to Paid immediately.

    Card here means a card you ran on your own reader or terminal. GymPoint records the payment so your books are right; it does not charge the card again.

    Only staff who can manage payments see the Mark paid button. Everyone who can open the roster can see who owes.

    The amount is also a normal invoice under Billing > Invoices, with the note "Booked online. Pay at the gym." Recording a payment on that invoice marks the roster paid as well.

    No-Shows and Unpaid Seats

    GymPoint handles a no-show quietly. The invoice is due on the day of the class, but:

    • No reminder or overdue email is ever sent for it.
    • It does not count toward a past-due balance, so it will not block that person from booking members-only classes later.

    The amount keeps showing as owed on the roster and under Billing > Invoices until you act on it. You can:

    • Cancel the booking. The invoice is voided automatically when nothing has been paid on it.
    • Void the invoice from Billing > Invoices if you want to keep the booking record but forgive the amount.
    • Collect later with Mark paid on the roster or by recording a payment on the invoice.

    Turning It Off

    Turn off Let non-members pay at the gym in Settings > Bookings. New bookers on your public schedule go back to paying online. Anyone who already booked a seat to pay at the gym keeps the seat and still shows as owing on the roster. If someone opens a stale booking page after you turn it off, GymPoint sends them back to pay online instead of booking them without payment.
